Records Management System (RMS)
Sleuth Records Management System is a powerful, high-performance system that automates and streamlines managing agency records and data. Sleuth provides faster, easier management of records and makes finding and reporting information a snap.
|
Sleuth is based around a centralized master file system, which permanently retains the most recent information collected about each individual. New records and reports pull from existing information, making redundant entry a thing of the past. Automatically created and updated with each record entry, master files offer quick, easy access to a comprehensive history on anyone in your system.
Sleuth's data management software is broken into over two dozen separate modules, designed to meet needs throughout your agency. Information unique to each report is stored in individual record systems, ranging from official reports, such as Incident and Arrests to administrative functions, such as maintaining personnel training records.
Data flows in a logical progression through related reports and modules. Each system links back to and automatically updates master files. You won't find a more comprehensive or easy to use Records Management System than Sleuth.

Sleuth RMS Features:
>> Administration is comprised of Budget, Personnel, Vehicle Costing and Staff Scheduling modules. These systems are typically used by agency administrators to manage records dealing with finance and staff record keeping.
>> Arrest is the official report filed by the law enforcement officer when a citizen is retained and booked. Arrest reports are closely associated with Incidents, and can be automatically created from Incident offender information.
>> Calls (for Service) is a logging system for dispatchers to record information about 911 and other calls received. This system provides a permanent history of dispatch activity for agencies without online computer aided dispatch (CAD) systems.
>> Case Management is designed for automatic and manual messaging among agency staff tied to report data entry, case actions and report approvals. Case management records are maintained as public record and retained as a permanent part of the report file.
>> Citations are used for ticketing purposes in both moving (traffic) and non-moving (ordinance) violations. Citation records are shared and updated by both law enforcement and court personnel. eCitations may also be originated through Sleuth's Mobile Field Reporting software and updated to Sleuth RMS.
>> Civil Papers is designed for agencies who are tasked with serving legal documents and court dockets to citizens. This module allows you to enter information about each paper and request, and track each step of the process, including billing and payment for services.
>> Sleuth's Court Management System shares many components with RMS, including warrants, citations and master files. The primary court screen manages docket entry and processing, and serves as the basis for other court functions, including payment collection and mail merge documents.
>> Crash Reports, previously referred to as Accident, are official reports detailing information about traffic related incidents. These reports are entered in Sleuth through standard data entry screens. Configurations on your system direct Sleuth to output the information to the proper, printed state forms.
>> Incident Reports are filed by officers with information on criminal actions, complaints and other law enforcement interactions involving officers. Each officer files an individual Incident supplement which is combined with other reports to create the case file.
>> Intelligence is utilized primarily by detectives and other agency personnel in case building and investigation work. The intelligence system provides a centralized storage depository for all collected information, and includes computerized analysis tools. Interviews is a similar, less sophisticated system designed for officers to retain informal surveillance and information not requiring a report.
>> Master Files are comprised of people, addresses and vehicles. All records related to a particular person, address or vehicle are tied together in one central location, providing fast and comprehensive query results. Master files are automatically updated as a background process as records are created and help streamline data entry by allowing operators to recall existing information on persons and vehicle descriptions into new records.
>> NIBRS (National Incident Based Reporting System) and UCR (Uniform Crime Reporting) satisfy required law enforcement reporting requirements with automated print reports and electronic state submission. Information is compiled through Incident and Arrest data without further data entry required.
>> Parking Tickets collect specific information relating to vehicle parking violations. Parking tickets accommodate fines collection, booting and offer mail merge capabilities. This data file is available on both Records and Court management menus.
>> Property includes modules for Department Property, Evidence, Impounds, Inventory and Stolen property lists. Individual data files collect information and provide functions to manage held, stolen and dispersed property information.
>> Information system relating to ordinance required registrations and permits are contained in Sleuth's Registration section. Bicycle and peddler permits, pet registrations, sex offender registration and weapon permits are included.
>> Share Data refers to Sleuth's automated import and export functions, and are used to create reports outside of Sleuth or send and receive data electronically.
>> Stats allow you to compile statistical reports, with tallied numbers rather than detail information. Stats is a centralized reporting screen to which makes it easy to create a myriad of statistical reports from information throughout the system. Reports on specific data files can also be found on module menus.
>> Warrants are shared between law enforcement and court personnel. Locally issued warrants as well as state and national information can be retained in this system.
>> Utilities are used by system administrators to update and upgrade information, and perform records maintenance.
